Whether you’re the kind of person who does a lot of planning in their head, or a super-organised type who has a to-do list for every day of the year, when it comes to entertaining, everyone can benefit from a checklist.

Having a party running sheet takes the stress out of the lead-up to the occasion, and makes the day itself run far more smoothly. This, of course, means you’re a more relaxed host and can really enjoy yourself, despite having plenty of guests to look after!

Break up your check list into a time line – here are some suggestions for what to include:

A month to two weeks before the party
- Send out the invitations
- Follow up missing replies after the RSVP date
- Hire party equipment such as tables and chairs, wine glasses, marquee, jumping castle
- Buy non-perishable food items – make a shopping list first
- Buy disposable plates, cups and cutlery
- Discuss the menu if you’re having a caterer
- Buy alcohol and soft drinks
- Pre-make any food that is suitable to freeze

The day before the party
- Check the weather forecast if you’re entertaining outdoors, and make provisions for a wet-weather alternative if rain is expected
- Set up the bar area, including big plastic buckets for cooling drinks
- Set the table with glassware, cutlery, napkins, platters etc
- Shop for fresh party food ingredients
- Make any foods that are suitable to pre-prepare; plus whip up marinades or sauces that you’ll need for the party day
- Organise any entertainment you’re planning such as an iPod playlist or karaoke set-up
- Tidy the house – shove stuff in cupboards if you’re desperate!
- Tell the neighbours you’re having a party out of courtesy – invite them to drop in for a drink to keep it friendly

The day of the party
- Buy ice for drinks buckets
- Pick up helium balloons
- Buy fresh flowers to adorn the house
- Ensure the bathroom is clean and put out fresh hand towels and guest soaps
- Tie a balloon or something eye-catching to the letterbox so guests know where the party is
- Make up platters of food before guests arrive
- Be sure you’re dressed and ready in time to greet the first guests and offer them a welcome drink
